Remove addresses from AutoComplete

When typing an address in the “To:” line I get a list of addresses to choose from. There are several of these autocomplete recipient names in there which I’ve mistyped and also some that I don’t use anymore.

How can I remove these? They are not in my Contacts folder either. Where are they?

AutoComplete buttonThe Auto-Complete feature of Outlook keeps a cache of addresses you’ve recently used. It is not related to the default Contacts folder. Instead, they are kept in a special cache location.

Removing a single address

Remove from AutoSuggest buttonWhen addressing an email and a name you want to remove pops-up, use your arrow keys on your keyboard to select it and press Delete.

Addresses which you can remove contain an X icon on the right when you highlight them.

Addresses listed in the Other Suggestions section can’t be removed as they are resolved from your Address Book and not from the list of addresses of people you’ve emailed before. If the contact is stored in your Contacts folder and you want it removed, you can delete it from the Contacts folder itself.

When using Outlook , you can instead remove the contact item from the Suggested Contacts folder. To see all your Contact folders, switch to the Contacts Navigation (keyboard shortcut: CTRL+3).

In these versions of Outlook, the Auto-Complete list is kept in a special hidden message in your mailbox. Resetting the list can be done in the following ways;

  • Button: Empty Auto-Complete List
    Using the “Empty Auto-Complete List” button does exactly what is says. You can find the option here;
    File-> Options-> section Mail-> option group: Send messages-> button: Empty Auto-Complete List
  • Startup switch: cleanautocompletecache
By starting Outlook with the cleanautocompletecache startup switch you’ll achieve the exact same results as using the button “Empty Auto-Complete List.
    You can execute this switch in the following way (note the space in the command);

Outlook

Outlook buttonAside from the methods listed above, in Outlook you can also empty the Suggested Contacts folder.

The contacts in the Suggested Contacts folder hold a relation to the Auto-Complete list. Delete a contact from this folder and it will also be removed from the Auto-Complete list.

Note that the reverse doesn’t work; When you remove the “Empty Auto-Complete List” button or the cleanautocompletecache startup switch, you will not delete the contacts from the Suggested Contacts folder.

    Outlook contacts remove 2016 suggested

When you start typing in the To, Cc, and Bcc fields in Outlook, you'll see suggestions appear based on what you've entered. These suggestions are broken into two categories: Recent People and Other Suggestions. The names and addresses that appear in Recent People are stored in the Auto-Complete List. The names and addresses that appear in Other Suggestions are generated within the Microsoft Service using information indexed from the sender’s previous communications.

Outlook builds the Auto-Complete List by saving the names and addresses you've previously used when sending messages. You'll see a maximum of two suggestions in the Recent People list and a maximum of three suggestions in the Other Suggestions section. You can remove an address from the Recent People list or disable the Auto-Complete List to remove the Recent People section completely.

Use the Auto-Complete List and Recent People suggestions

By default, the Auto-Complete List option is turned on. As you begin to type a name in a To, Cc, or Bcc box, the Auto-Complete List suggests up to two matching names or addresses in the Recent People section.

If you type a "b" character in one of the recipient fields, for example, the list presents suggested matches. The Recent People list is searched by first name, and the Other Suggestions list is searched by first name, last name, and email address. The list is refined with each character you type. So, if you end by typing "Bo," then the Auto-Complete List would further refine to only show Bob Kelly in the Recent People list and Megan Bowen in Other Suggestions.

The AutoComplete List shows you addressing suggestions.

With each person you email, additional message recipients are added to the Auto-Complete List.

Delete one or more suggested recipients in the Auto-Complete List

You can remove one or more entries in the Recent People list. If you hover your mouse over the entry, you'll see an X to the right of the person's entry. Click that X to delete the person's name and email address from the Auto-Complete List. This doesn't remove the person from your Contacts folder or other address book.

You can also use the arrow keys to move through the list, and when you reach the person's name that you want to delete, you can press the Delete key.

Once a recipient name is removed, it won't appear again in the Auto-Complete List unless you deliberately select it from your Contacts list or type the address in manually. These actions will add the address to the Auto-Complete List again. If you want to permanently remove a recipient from your Contacts list, see delete a contact.

Note: You can't remove the entries in the Other Suggestions list or disable this list.

    Turn off the Auto-Complete List

If you no longer want to see the Recent People suggestions, you can turn off the Auto-Complete List.

    1. Select File > Options > Mail.

      Choose the File tab.

    2. Under Send messages, clear the Use Auto-Complete List to suggest names when typing in the To, Cc, and Bcc lines check box.

Choose File, Options, Mail, and under Send messages, clear the Auto-Complete List check box.

Note: You can't turn off the Other Suggestions list.

Clear all entries from the Auto-Complete List

You can clear all entries from the Auto-Complete List without turning AutoComplete off.

    1. Select File > Options > Mail.

    2. Under Send messages, choose Empty Auto-Complete List.

Choose File, Options, Mail, and under Send messages, choose the Empty Auto-Complete List button.

    3. Choose Yes to confirm you want to empty the list.

How to Disable or Enable Auto Complete Suggestions in Microsoft Outlook

The outlook is a great email platform, especially for a corporate environment. Like any other Microsoft product, it brings changes to the app with the intention to improve the user’s productivity and efficiency. I really like to ability to recall an email in outlook if I accidentally sent it to the wrong person and also the Outlook suggested contacts (Sometimes).

Outlook suggested contacts and an auto-complete list and aims to help you find email contacts easily and quickly. If you have emailed someone once before, you will find their email addresses when you type part of their email address. You can easily remove contacts from the autocomplete list by clicking on the cross icon that appears next to the email addresses.

How To Clear Autocomplete Outlook Email Addresses

You can clear autocomplete outlook email addresses cache. These email addresses are usually email addresses you might have sent out to email or received mail but have never listed them as contacts or are on a save list somewhere. If this fails, check if Outlook is working offline and make sure it’s online.

You can delete these email addresses from appearing from the auto-complete list individually or clear autocomplete list completely.

Whenever you are entering the email address on the “To” or “CC” section and the outlook autocomplete feature brings up the email address, you can click on the cross next to the email address. Outlook will not suggest you that email address anymore.

To completely clear the list, go to File > Options. In the new window that opens up, click on “Mail” on the left-hand side and scroll towards the bottom, and look for the “Empty Auto-Complete List”.

Some Email Address Cannot Be Deleted From Autocomplete

The problem is that Outlook brings up other email addresses as well under "Other suggestions" and sometimes even on the autocomplete list. These contacts do not have a delete icon/cross next to them.

This can be very annoying and at times risky if you are sending a confidential email and accidentally send it to contact with a similar email address.

In this article, I guide you on how to delete an email address from Other suggestions in outlook. I also show you how to disable other suggestions in outlook.

Outlook Suggested Contacts : Remove Other Suggestions Email Addressess

If you only have a handful of email addresses that you want to remove from Other Suggestions, it is quite easy.

There are tutorials asking you to clear the “Autocomplete” list cache and claiming that this will fix the issue with the emails appearing under “Other suggestions”. That does not work, or at least for me, it didn’t.

Delete Email Address From Appearing On Other Suggestions

Like I said earlier, you should know which email address you need to remove from Other suggestions. If you have lots of email addresses to remove this might be time-consuming.

    1. Click on the “People” icon from the bottom left corner
    2. Click on the search bar – “Search Contacts”
    3. On the search toolbar, click on “All contact items”
    4. Now go back to the search bar and type in the email address that you want to remove from the “Other suggestions”
    5. Once the email address is loaded, it shows it as a contact regardless you have created a contact for the email or not
    6. Right-click on that contact and click on “Delete”
    7. Look for any accounts that you do not need or remove from the Other suggestions
    8. Now try sending a new email, that email address will not appear under “Other suggestions”
    9. Restart outlook application if required

    Disable Outlook Suggested Contacts Completely

What if you have hundreds of email address that needs to be removed from the Other Suggestion. What do you do?

You have two choices if you have a huge mailbox and have hundreds or even thousands of email addresses that you have send emails to that are not on your address list.

    • Either leave the “Other Suggestions” feature on and be more cautious when sending out confidential emails.
    • Disable Outlook Suggested Contacts Completely. Doing this might break the autocomplete feature for some users since it reverts the Autocomplete features to a classic look.

If you choose the latter, you can disable other suggestions feature in outlook by following the steps mentioned below.

Note: This requires editing the Registry file. If you do not know what you are doing, you might corrupt your Windows OS and you might lose all of your data. You might even have to reinstall windows.
    1. Close Outlook if it is open
    2. Click on “Type here to search” and type “Regedit”
    3. Once you see “Registry Editor” has loaded, click on “Run as administrator”.
    4. On the prompt, click “Yes” to run as an administrator
      opening-registry-as-administrator
    5. Navigate to the following folder
      Computer\HKEY_CURRENT_USER\Software\Microsoft\Office\\Outlook\Options
    6. Alternatively, you can copy the above link and paste on the bar under the taskbar
      pasting-url-in-regedit
    7. You should see three registry keys under this folder like below
      3-keys-in-regedit-folder
    8. Right-click on anywhere in the screen > NEW > DWORD (bit) Value
    9. Name the DWORD Value as – DisableAutoCompleteUpdate
      creating-a-new-regedit-file
    10. Double click on the value and input “1” as the value
      adding-value-to-the-file
    11. Close the registry editor and start outlook
    12. Try sending a new email, the Other Suggestions will not come up

Always have a backup of the registry if you would like to revert these changes. But after making this change, outlook suggested contacts will be completely disabled. If you’ve messed up your outlook profile too much, you might need to recreate your Outlook profile.

    Summing Up,

That’s how you can delete an email from Other Suggestions autocomplete on Outlook. I personally prefer to disable other Suggestions feature on Outlook completely to stay away from the trouble of sending emails to the wrong person.

Regardless, Outlook suggested contacts are a very helpful feature but not if you have shared contacts or address books which is the case for a user working in a large organization. If that’s the case, you might just need to be a little more careful if you have too many email addresses appearing in the suggestions.

Please let me know in the comments down below if these outlook tips helped you to remove emails from autocomplete other suggestions.
